Lancashire Music Association Privacy Statement

1. About this statement

Lancashire Music Association (LMA) is committed to respecting your privacy and protecting your personal information.

This Privacy Statement explains what information we collect, why we collect it, how we use and protect it, and the choices and rights you have.

It applies primarily to people who join the LMA as members and to others who provide their contact details to take part in our activities.

2. Becoming an LMA member

By completing our membership form, you are asking to become a member of the Lancashire Music Association. Membership is free.

LMA is your association: a growing network for Lancashire’s music people, places and projects.

To manage your membership and keep you connected with the network, we need to keep a record of some of the information you provide.

From time to time, we may contact members with LMA updates, opportunities, events, consultations and other information that we believe is likely to be of value to Lancashire’s music community.

We will not spam you, sell or rent your personal information, or share it with third parties for their own marketing purposes.

You can ask us to stop sending you information, or end your membership, at any time.

3. What information we collect

When you join the LMA or take part in our activities, we may collect:

  • your name;

  • your email address;

  • your telephone number, where provided;

  • the name of your organisation, project, band, venue or other activity, where applicable;

  • information about your role or involvement in music;

  • information you choose to provide about your interests or activities; and

  • information you provide when taking part in LMA events, consultations, surveys or projects.

We aim to collect only the information that is relevant to our work and membership activities.

4. How we use your information

We may use your information to:

  • manage and administer your LMA membership;

  • communicate with you about LMA activity;

  • share relevant opportunities, events, funding information, news and other information;

  • invite you to take part in events, projects, consultations and discussions;

  • help connect and support Lancashire’s music community;

  • better understand the people, places and activities that make up Lancashire’s music sector;

  • improve our activities and the support we provide; and

  • meet any legal or regulatory obligations.

We may use combined or anonymised information to better understand the needs and development of Lancashire’s music community. Where possible, information used for wider analysis or reporting will not identify individual members.

5. Our basis for using your information

When you complete our membership form, you are asking to join the LMA and providing information so that we can administer your membership.

We use personal information where it is necessary to manage the membership you have requested and where we have a legitimate interest in operating and developing the LMA as a network for Lancashire’s music community.

We will also be clear when joining about the types of information and communications members may receive.

Where consent is specifically required for a particular activity, we will ask for it separately.

You can ask us to stop sending you information at any time.

6. Who we share your information with

We do not sell or rent members’ personal information.

We do not share your personal information with third parties for their own marketing purposes.

We may use trusted service providers to help us operate our website, membership records, communications or events. Where this happens, they may process information on our behalf and should only use it for the purposes for which it has been provided.

We may also disclose information where we are legally required to do so.

7. How we store and protect your information

We take reasonable technical and organisational measures to protect personal information from loss, misuse, unauthorised access or disclosure.

Access to membership information is limited to people who need it for legitimate LMA purposes.

8. How long we keep your information

We will normally keep your membership information for as long as you remain an LMA member.

If you end your membership, we will remove personal information that we no longer need, subject to any legal, administrative or regulatory reason for retaining particular records.

If you ask us to stop sending you information, we may keep a minimal record of your email address on a do-not-contact list. This is solely to make sure that we respect your wishes and do not accidentally add you back to future mailing lists.

We will not keep personal information for longer than we reasonably need it.

9. Your rights

Depending on the circumstances, you may have the right to:

  • ask for a copy of the personal information we hold about you;

  • ask us to correct inaccurate or incomplete information;

  • ask us to delete your information;

  • ask us to restrict how your information is used;

  • object to certain uses of your information;

  • withdraw consent where we are relying on consent; and

  • request the transfer of your information in certain circumstances.

You have the right to ask us to stop using your personal information for direct marketing at any time.

You also have the right to raise a concern with the Information Commissioner’s Office if you believe your personal information has not been handled appropriately.

10. Leaving the LMA or stopping communications

You can ask to stop receiving LMA information emails at any time.

You can also end your LMA membership at any time.
